"When I apply a Google Sheets filter on a Status column (e.g. URGENT / VALID), why do my cell values disappear?"

Quick Answer: Your data is completely safe and was not erased! This is the standard native behavior of Google Sheets filters.

What is actually happening:
  • When you filter a column to show only URGENT, Google Sheets temporarily hides all rows that do not match (e.g., all "VALID" and "APPROACHING" rows are collapsed out of view).
  • Notice the row numbers on the far left of your spreadsheet: they turn green and skip numbers (e.g., row 2 jumps to row 5).
  • If you filter for VALID, Google Sheets hides the "URGENT" rows.

How to restore all cell values immediately:

  1. Go to the Google Sheets top menu and click Data → Turn off filter.
  2. Or click the small filter funnel icon on the column header, and click (Select All).
  3. Every single employee row and color badge will immediately reappear untouched.

Common Filter Mistakes to Avoid:

  • Filtering a Single Column: Never click on Column D alone and hit "Create a filter". Always select cell A1 or the entire sheet first, so that entire rows hide and sort together.
  • Shared Team Collaboration: If multiple HR staff work on the sheet at the same time, use Data → Filter views → Create new filter view. This creates a personal view so filtering for urgent visas doesn't disrupt what other team members see!

Common Support Inquiries

  1. Check Triggers Tab: Ensure you have ticked at least one reminder milestone (e.g. 30 Days Before) and clicked Save & Activate.
  2. Verify Date Format: Ensure dates in your expiry columns are formatted as valid dates in DD/MM/YYYY. If typed as plain text or invalid numbers, the calculation engine skips the row.
  3. Check System Health: Open the sidebar and look at the "Automation Health" badges on the Global Hub. Both Live Sync and Weekly Digest should display green "Active" badges.

Google limits individual script runs to 6 minutes. To guarantee stability for large schools and enterprise companies with hundreds of staff, DocuTrack HR uses an Enterprise Background Queue.

The blue status banner confirms that the background queue is safely processing rows in chunks of 50. You can close your spreadsheet and your computer; Google's cloud server will continue processing in the background until the batch completes.

Google Apps Script enforces a strict limit of 20 active triggers per spreadsheet document. If other legacy add-ons or orphaned scripts have accumulated in your file, this error can appear.
