Welcome to DocuTrack HR. By installing, authorizing, or using the DocuTrack HR Google Sheets™ Add-on (“the Software”, “the Add-on”, “we”, or “our”), you agree to be bound by these Terms of Service. If you do not agree to these terms, please uninstall and discontinue use of the Add-on immediately.
1. Nature of the Service
DocuTrack HR is an administrative productivity tool designed to execute within your Google Workspace™ environment. It reads date and recipient information from your designated spreadsheet columns and leverages your authenticated Gmail™ account to dispatch automated notification emails based on the parameters, thresholds, and schedules you configure.
2. User Responsibilities & Data Accuracy
As the administrative user or licensee of this Add-on, you acknowledge and agree that:
- Data Accuracy: You are solely responsible for ensuring the correctness, valid formatting, and currency of the dates, staff names, and email addresses entered into your spreadsheets.
- Authority & Consent: You confirm that your organization has the lawful right, authority, and requisite employee consent to process staff document dates and send automated email alerts to the listed recipients.
- Anti-Spam & Legal Compliance: You agree to use the Add-on in strict compliance with all applicable local, national, and international laws, including data privacy laws (e.g., GDPR, PDPA) and electronic communication regulations (e.g., CAN-SPAM).
- Quota Management: You acknowledge that email delivery relies on Google's native Workspace sending quotas (e.g., 500 emails/day for free Gmail accounts, 2,000 emails/day for Google Workspace accounts). You are responsible for ensuring your organization operates within Google's account limits.
3. Disclaimer of Warranties (“As Is” Clause)
The Software is provided strictly on an “AS IS” and “AS AVAILABLE” basis without warranty of any kind.
To the maximum extent permitted by applicable law, the developer expressly disclaims all warranties, whether express, implied, or statutory, including but not limited to the implied warranties of merchantability, fitness for a particular administrative or legal purpose, and non-infringement.
We do not warrant that:
- The Add-on will meet every specific legal compliance mandate of your jurisdiction.
- The operation of the Software will be uninterrupted, strictly bug-free, or resilient against unannounced Google Workspace™ platform outages.
- Google Workspace API updates will not cause temporary disruption to background triggers.
4. Limitation of Liability
In no event shall the developer of DocuTrack HR be held liable for any direct, indirect, incidental, special, consequential, or exemplary damages, including but not limited to:
- Missed visa renewal, 90-day report, passport expiry, or teacher license deadlines.
- Fines, penalties, legal sanctions, or employment disruptions imposed by immigration authorities or regulatory bodies.
- Any non-delivery of email notifications caused by Google service limits, bounced addresses, spam filtering, or incorrect user configuration.
- Loss of data, profits, goodwill, or administrative disruption resulting from the use or inability to use the Software.
5. Subscriptions, Payments & Upgrades
- Lite Edition: Provided free of charge with single-sheet tracking capabilities and basic triggers.
- PRO Edition: Unlocks multi-sheet tracking, custom document categories, live triggers, and priority background processing. Payments are processed securely via Stripe.
- Refund Policy: We offer a 14-day money-back guarantee for PRO license purchases if the Add-on fails to function as advertised on your supported Google Workspace domain.
6. Intellectual Property
DocuTrack HR, including its source code, algorithm, branding, trademarks, and user interface, remains the proprietary intellectual property of Sethi De Clercq. You are granted a limited, non-exclusive, non-transferable revocable license to utilize the Add-on within your organization's Google Workspace for its intended purpose.
7. Modifications to the Service & Terms
We reserve the right to improve, update, or modify the Add-on features or these Terms from time to time. Continued use of the Software following any posted updates shall constitute your acceptance of the revised Terms.
